Policy

1. Overview

At Golden Ratio Consulting (GRC), we strive to deliver high-quality technology solutions that meet or exceed your expectations. We understand that circumstances may change, and we want to ensure our refund process is fair and transparent for all parties.

2. Consultation Services

Initial consultations are offered free of charge. Paid consulting sessions or advisory engagements are non-refundable once the session has been delivered. If you need to reschedule, please notify us at least 24 hours in advance.

3. Project-Based Services

Before Work Begins

If you cancel a project before any work has commenced, you are entitled to a full refund of any deposit paid, minus a 5% administrative fee to cover planning and resource allocation costs.

During Active Development

Once work has begun on a project, refunds are calculated based on the work completed:

Less than 25% completeRefund of 75% of the total project fee
25%–50% completeRefund of 50% of the total project fee
50%–75% completeRefund of 25% of the total project fee
More than 75% completeNo refund available; full payment is due for completed work

Project completion percentage is determined by the milestones and deliverables outlined in the project agreement.

After Project Delivery

Once a project has been delivered and accepted by the client, no refunds will be issued. Acceptance is defined as written approval or the absence of a written dispute within 14 days of delivery.

4. Managed Hosting & Subscription Services

For recurring hosting or subscription-based services:

  • Monthly plans may be cancelled at any time with 30 days' notice
  • Annual plans may be cancelled with a prorated refund for the remaining unused months, minus a 10% early termination fee
  • Refunds for the current billing period are not available once the billing cycle has started
  • Data migration assistance is included at no additional charge upon cancellation

5. Digital Products & Licenses

Digital products, software licenses, and downloadable resources are non-refundable once delivered or access has been granted, unless the product is materially defective or significantly different from what was described.

6. Satisfaction Guarantee

We stand behind the quality of our work. If you are unsatisfied with a deliverable, we will work with you to address your concerns:

  • Revision period — You have 14 days from delivery to request revisions at no additional cost (up to 2 rounds of revisions as specified in your project agreement)
  • Dispute resolution — If revisions do not resolve your concerns, we will engage in good-faith negotiation to reach a fair resolution
  • Partial refund — In cases where we are unable to deliver the agreed-upon scope, a partial refund may be issued proportional to the undelivered work

7. How to Request a Refund

To request a refund, please follow these steps:

  1. Email us at [email protected] with your project name, invoice number, and the reason for your refund request
  2. Our team will review your request within 5 business days
  3. If approved, refunds will be processed within 10 business days to your original payment method
  4. You will receive a confirmation email once the refund has been processed

8. Exceptions

Refunds will not be issued in the following circumstances:

  • Delays or issues caused by the client's failure to provide required information, access, or approvals
  • Changes in the client's business needs or priorities unrelated to service quality
  • Third-party service outages or changes beyond GRC's control
  • Services that have been fully delivered and accepted

9. Chargebacks

We kindly ask that you contact us directly before initiating a chargeback with your payment provider. Chargebacks filed without prior communication may result in suspension of services and additional administrative fees. We are committed to resolving any billing disputes promptly and fairly.

10. Changes to This Policy

GRC reserves the right to update this Refund Policy at any time. Changes will be posted on this page with an updated "Last updated" date. The policy in effect at the time of your purchase or service engagement will apply to that transaction.
