1. Overview
At Golden Ratio Consulting ("GRC", "we", "us", "our"), we understand that business needs can change. This Cancellation Policy outlines the terms and conditions for canceling services, subscriptions, and project engagements with us. We strive to be fair and transparent while protecting the time and resources we have committed to your projects.
This policy applies to all clients engaging with GRC for consulting services, managed hosting, subscriptions, and project-based work. Please read this policy carefully before canceling any service.
2. Consulting Services Cancellation
One-Time Consulting Sessions
- Cancellation with 24+ hours notice: Full refund or rescheduling at no charge
- Cancellation with less than 24 hours notice: 50% of the session fee applies
- No-show (no notice given): Full session fee applies, no refund
Retainer Consulting Agreements
- Monthly Retainers: 30 days written notice required for cancellation
- Quarterly Retainers: 60 days written notice required for cancellation
- Annual Retainers: 90 days written notice required for cancellation
- Unused retainer hours do not roll over and are forfeited upon cancellation unless otherwise specified in your agreement
Strategic Advisory Services
- Strategic advisory engagements require 45 days written notice for cancellation
- Any completed deliverables prior to cancellation are non-refundable
- Work in progress will be billed at the percentage completed at the time of cancellation
3. Subscription & Managed Services Cancellation
Monthly Subscriptions
- May be cancelled at any time with 30 days written notice
- Cancellation will take effect at the end of the current billing cycle
- No refunds for partial months
- Final invoice will be prorated for the final billing period
Annual Subscriptions
- May be cancelled with 60 days written notice
- Refund for unused months minus a 10% early termination fee
- Early termination fee covers administrative and setup costs
- Example: If you cancel 6 months into a 12-month term, you receive refund for remaining 6 months minus 10%
Managed Hosting Services
- Standard Plan: 30 days notice required
- Enterprise Plan: 60 days notice required
- Data migration assistance is included at no additional charge upon cancellation
- Domain and DNS management can be transferred to your new provider

4. Project-Based Services Cancellation
Before Work Begins
If you cancel a project before any work has commenced, you are entitled to a full refund of any deposit paid, minus a 5% administrative fee to cover planning and resource allocation costs.
During Active Development
Once work has begun on a project, refunds are calculated based on the percentage of work completed:

Project completion percentage is determined by the milestones and deliverables outlined in your project agreement. Our project managers will provide a detailed completion assessment upon cancellation request.
After Project Delivery
Once a project has been delivered and accepted by the client, no refunds will be issued. Acceptance is defined as written approval or the absence of a written dispute within 14 days of delivery.
5. Free Consultation Cancellation
We offer complimentary 30-minute consultations to prospective clients.
- Cancellation: Please notify us at least 2 hours in advance to cancel or reschedule your free consultation
- Late Cancellation (less than 2 hours): No penalty, but we may prioritize rescheduling based on availability
- No-Show: Two no-shows may result in requiring a paid consultation for future scheduling
- Rescheduling: You may reschedule up to 3 times without penalty
We value your time and ask that you extend the same courtesy to our consultants.
6. Refund Eligibility Summary

- Consultation cancelled with 24+ hours notice
- Project cancelled before any work begins (minus 5% admin fee)
- Annual subscription cancelled within 14 days of renewal (full refund)
Partial Refund Eligible
- Consultation cancelled with less than 24 hours notice (50% refund)
- Project cancellation during active development (prorated based on completion)
- Annual subscription cancellation (remaining months minus 10% fee)
No Refund Eligible
- No-show for scheduled consultation or session
- Project cancellation at 75%+ completion
- Delivered and accepted deliverables
- Partial months of subscription services
- Digital products or licenses once delivered
7. How to Cancel Services
To cancel any service with Golden Ratio Consulting, please follow these steps:
- Email your cancellation request to: [email protected]
- Include in your email: Your full name and company name, Service or subscription you wish to cancel, Account or invoice number (if applicable), Effective date of cancellation
- Confirmation: You will receive a confirmation email within 3 business days with cancellation details and any applicable refund information
- Final Invoice: Any outstanding balance will be invoiced separately; any refund due will be processed to your original payment method within 10 business days
⚠️ Important: Phone calls alone are not considered valid cancellation notice. You must submit your cancellation request in writing via email to ensure proper documentation and processing.
8. Data Export & Transition Support
We want to make your transition away from our services as smooth as possible. Upon cancellation of managed services or subscriptions:
- Data Export: We will provide your data in a standard, machine-readable format at no additional charge
- Transition Period: We offer a 14-day transition period after cancellation to help you migrate
- Data Retention: We retain your data for 30 days after cancellation, then permanently deleted
9. Exceptions & Special Circumstances
Exceptions to this policy may be considered on a case-by-case basis for medical emergencies, family emergencies, natural disasters, and business closure.
Force Majeure
Neither party shall be liable for delays or failures resulting from causes beyond their reasonable control, including acts of God, war, terrorism, pandemic, or government orders.
10. Changes to This Cancellation Policy
GRC reserves the right to update this Cancellation Policy at any time. Changes will be posted on this page with an updated "Last updated" date.
